Microsoft Outlook 2010 is a powerful application that combines a reliable email client with a feature-packed organizer. The program aims to help you keep in touch with your friends or coworkers, schedule important meetings and assign tasks.
Automatic retrieval for mail servers and group messages
The email client can handle multiple POP3, IMAP or Exchange email accounts and can retrieve the mail server settings for certain accounts only by entering the email address and the password.
The email list can be organized to easily find a message by grouping them by date or by email title. The messages that deal with a single subject but are stored in separate folders can be grouped using the “Conversation view” in order to analyze them.
Filter messages and flag them
Email rules can be created in order to filter, redirect or move messages to certain folders. The ribbon offers you the possibility to perform more than one action to an item by using the Quick Steps feature. For instance you can flag a message, mark it as read and move it to a certain folder with a single click.
The program aims to increase your productivity by filtering the messages that are delivered to your Inbox. The junk and phishing filters automatically move the unwanted emails to a "Junk" folder. You can also filter the messages by adding Search Folders that display only certain messages such as the unread items.
Schedule your day, add tasks and manage contacts
Organizing your daily schedule is an easy job with the Calendar and the Tasks list available in the application. You can schedule meetings by sending requests to multiple contacts and confirming the requests from the other team members. The tasks can be reassigned and updated with reports from your co-workers.
Contacts can be managed by adding or deleting items, creating contact groups or distribution lists. The contact information can be shared with other users by forwarding a business card or by sending it as a text message to a mobile device.
The interface of the program is consistent with other Microsoft Office 2010 applications by using the ribbon that groups relevant functions and buttons into tabs. The ribbon also displays contextual tabs when you perform a certain tasks such as selecting a meeting in the Calendar view. A useful implementation of this function is the Search Tools tab that allows you to specify the search parameters in order to get the most relevant results.
Overall, Outlook 2010 is a professional solution for the users that need to stay organized and to manage multiple email accounts. Although we expected it to require more resources, the program has no impact on the computer's performance. It might be a bit complex for the home user but it is invaluable for most professionals.
