Features
Backup and Recovery
The program's backup features will not work in case of a major hard disk failure. This is when the hard disk completely breaks down. To protect against major disk failure, you need to backup the data on a USB disk or another external device. By default, the program's data is saved in this folder:
My Documents\Organizer

You can backup the entire folder "My Documents", or just this folder: "My Documents\Organizer". Just drag & drop the folder in to USB drive.

To protect against minor disk failure, the program keeps redundant backup files in "Data Recovery" section for calendar, contacts, and tasks.

To recover lost records, click the tab for Calendar/Contact/Task, in the left panel, click "Data Recovery". Data Recovery displays:
  • Recently added records
    Logs the last 1000 records which you added to the program

  • Automatic backups created by the program
    The program periodically makes backup copies for each file

  • Manual backups
    List of backup files (if any) which you created yourself Records in the data recovery cannot be modified. But you can click on any record and move them to a file, or delete them.

Record Management
The program saves all the records in files.

Contacts are stored in *.adx files
Calendar events are stored in *.clx files
Tasks are stored in *.tdx files



You can create new files on your computer to store records, or open existing files.

The files may have "read-only" attribute. You cannot write new records or modify existing records. The file can be on a "Public Folder" which can be accessed by different computers.

Each file can have different groups. You can move records from one group to another group in the same file. You can copy or move the record to a different file, or any group within another file. If the record has not been assigned to any group, it will be visible in the FileName section.

Each file has a "Main-Index". Main-Index contains all the records in your file. Main-Index usually shows the same records which you see under FileName. But sometimes you move a record to a sub-group, in this case the record will not show under FileName, but it is always visible in Main-Index.

You can create shortcut links in different groups. The shortcut link (or you can call it "Tag" or "Group Association") lets you put a record in more than one group. For example, you have two groups: "Friends" and "Co-Workers"; and you have a contact "Robert" who is your friend and co-worker. You can drag & drop the contact "Robert" and create shortcut-link in both groups. "Robert" will be visible in both groups.

To select multiple records, press the "Ctrl" Key on keyboard, use the mouse to click the records (while holding the "Ctrl" key). You can delete the selection, or move/copy the selection, or create shortcut links by dragging the selection in to a different group. In the case of Address Book's contacts, you can print the selection, print envelopes or labels, or use the mail merge option for the selected contacts.
Network Access
If you have two or more computers in your home/office network, you can easily share data between the computers. The two computers must be connected through a router, or an internet-modem with built-in router.

You need a "public folder" which can be accessed by different computers on your local home/office network. You can create new file in this public folder, then open that file from another computer. Or, create a new file on another computer, then open it from this computer.

You don't need any database setup or special server settings. You just need to install the program on both computers on the network. And you need access to a public folder.
Cloud Services
This program is compatible with most third party cloud services. For example, DropBox, SkyDrive, Google Drive, etc.

The program itself does not access to your online account. Instead, the program will read/write the designated cloud folder on your computer, and your cloud program will handle the actual file transfer.

If you have setup a cloud service for your computer, then you should have a specific folder on your computer which is associated with the particular cloud service. This cloud folder is something like "My Documents\DropBox", "My Documents\SkyDrive", etc. All you have to do is create a new file on this cloud folder, or open a file on this cloud folder. Simply click the "File" button in contact, calendar, or task manager; select the designated cloud folder, create a file on that folder, or open an existing file on that folder.

If you need to access your organizer data from different computers, then the same cloud service/account must be setup on those computers.

Synchronize with internet calendars/contacts
If you have signed up with services such as Microsoft or Google calendar and contacts, the program can access them to synchronize the organizer with your online services.

The program will use your web browser to access the internet, you will be asked to enter username/password if you are not already logged in, and you will be asked to accept or refuse the connection. If you accept, a secure connection is made directly between your computer and the internet service.

The program will not gain access to your internet password. Rather, the internet service will send an "access token" to the program. This "access token" will allow the program to gain access to you calendar/contact information.

* Facebook connector is temporarily disabled because of security issues, but you can use the option for "Subscribe to internet calendar", and import Facebook birthdays.
Address Book Manager
Address book manager is accessed under "Address" tab in main window. On the left side, it displays a list of all address book files. Usually you need only one address book. Each file can have different groups (see also "Record Management"). You can move the contacts to different groups, or create shortcuts links in different groups (a shortcut is basically a virtual copy of the contact, much like shortcuts on your desktop).

Adding new contacts:



Most of the fields are self explanatory! Email and Internet fields can store multiple addresses, they show only the first field in the edit window, click the drop button next to the field to see additional addresses. When printing or exporting contacts, the additional email/internet fields will show up as Email-2, Email-3, Internet-2, Internet-3... "Notes" can store up to 10,000 characters. Phone fields have a select button next to them, it is to select them as default phone number.

The "SMS" field is outdate. This is for sending text messages via email. If the recipient can receive email messages then you should just send email. This field may be removed in later versions.

Documents & Folders can be attached to the contact. Each contact can have its own folder on your desktop.

File menu:  
  • Create new address book file:  Create a different address book file if necessary. Usually it is better to have just one address book
  • Open existing address book file: Open an address book file which you created elsewhere
  • File properties: Information about the active address book file
  • Cloud address book: Use address book file on cloud folder
  • Shared address book: Use address book on Public folder
  • Google: Sync with Google address book
  • Microsoft: Sync with Windows Contacts
  • Create backup file: Create backup file for the currently selected file
  • Data recover: Recover data from recently added event, automatic backs, or manual backup
  • Import/Export: Import/Export from various other programs, or older versions

Sort menu:  

Contacts are supposed to be automatically sorted, but sometimes the program doesn't sort. Click the sort button to make sure.
  • "Company, LastName, FirstName, LastName" Sort will first display contacts which have company/organization, then it displays contacts which do not have company/organization. In this option "Company" has higher sort priority.
  • "Company + LastName + FirstName" In this option "Company" does not have higher sort priority, contacts are sort alphabetically based whichever field is available.
Labels
Labels Setup:
  • Click "Print Preview" tab in the main window
  • Select labels in the left panel
  • Click "Options" button
  • Click "Add" button and insert the dimensions for the new label
  • Select "Fields" to choose what you want to print (for example, select the field for "Mobile Phone", "Home Phone", etc.
  • Click "Contacts" button, this lets you select which contacts to print. You can print "All Contacts", or you can print only the contacts which have been selected under "Address" tab. If you choose the latter option, you can click "Address" tab to modify the contact selection, then click "Print Preview" tab again.

    Additionally, you can select a single contact, then repeat the same contact on all labels.

Envelopes
Envelope Setup:
  • Click "Print Preview" tab in main window
  • Select "Envelopes" in the left panel
  • Select "Personal" to print personal information (home phone number, home address, etc.), or select "Business" to print contact's business information
Envelope Size:
  • Click "Size" button, you should see "Paper Size" which is probably set to "Letter Size" or "A4" size. You should change it to matching envelope size.
  • In "Envelope Setup" window, enter your "Return Address".
  • Delivery Address is usually contact's name and address. You can select which fields should be printed, or select the font.
Printing Envelopes:
  • Click "Address" tab in main window.
  • Select any contact, click the address for that contact, this will show a menu option for printing envelopes.
  • To print envelopes for multiple contacts, select the contacts in "Address" tab, then go to "Print Preview" tab.
Example:
Calendar Manager
Each calendar event can be an appointment, all day event, or a simple note. In most calendar programs, a calendar event may have "Event Title" and "Event Detail". But in this program, you enter everything in one edit box. The first line will be treated as event title, the subsequent lines will be treated as event details.

If "Appointment" is checked, you have to set the time (Start Time for the appointment) and set the duration.  "Duration" is the length of the appointment. For example, an appointment from 3:00 PM to 3:30 PM has 30 min duration.

File menu:  
  • Create new calendar file: If necessary, create a different calendar file
  • Open existing calendar file: Open a calendar file which you created elsewhere
  • File properties: Information about the active calendar file
  • Cloud calendar: Use calendar file on cloud folder
  • Shared calendar: Use calendar on Public folder
  • Subscribe to internet calendar: If you use internet calendar on websites like Yahoo, Google, Microsoft...
  • Google: Sync with Google calendar
  • Microsoft: Sync with Microsoft calendar
  • Create backup file: Create backup file for the active file
  • Data recover: Recover data from recently added event, automatic backs, or manual backup
  • Import/Export: Import from iCal files, or older versions, export to iCal format

Calendar options:
  • Week starts on:  Value is usually Monday or Sunday. The month calendar and week calendar starts on that day.
  • First week of year:  When you are printing the weekly calendar with week number, this value determines the week of the year
  • Time format:  Display hour either as 1 PM, or 13:00
  • Day starts at:  Day and Week calendar will start on the selected hour
  • Appointment settings:  Change default length for appointments (usually 15 or 30 minutes); enable or disable reminders
  • Display option for recurring events:  Maximum number of lines for each recurring event. If the event is too long, it will chopped.
  • Display option for one-time events:  Maximum number of lines for one-time events.




Monthly Calendar
The month calendar shows one or more calendar in the same window. Only one calendar is active at a time. When you enter a new event, the event will be added to the active calendar. The active calendar is highlighted by a blue icon, which is visible in the left panel.

Each calendar can have a separate text format. Each event can have its own text format (this can get confusing if you set text format for both the calendar and individual events).


Weekly Calendar
Weekly calendar is basically the same as month calendar, except it shows fewer days in larger blocks. It has different view options to display days in free-form edit (Diary View) or appointment view.

Daily Calendar
Day calendar displays Yesterday, Today, and Tomorrow. This is different than the weekly calendar which always starts on the first day of the week. "View" button lets you select the number of days to display. You can hide or display the left panel which contains a mini calendar, list of calendars, and the address book; and the right panel which shows the Task List.


Task Manager
Task manager is accessed under "Task" tab in main window. On the left side, it displays a list of all task files. Usually you need only one task file. Each file can have different groups (see also "Record Management"). You can move the contacts to different groups, or create shortcuts links in different groups (a shortcut is basically a virtual copy of the contact, much like shortcuts on your desktop).

Usually you set "Due Date" for a task. You check "Completed" option when the task is done. "Start Date" is not important, but you can set it for reference. You can also associate each task with different task groups, or different contacts.



File menu:  
  • Create new task file: If necessary, create a different task file
  • Open existing task file: Open a task file which you created elsewhere
  • File properties: Information about the selected task file
  • Shared tasks: Use a task file on Public folder
  • Create backup file: Create backup file for the selected task file
  • Data recover: Recover data from recently added event, automatic backs, or manual backup
  • Import/Export: Import/export from iCal file format
Task List
Task list is available in month/week/day view. You can show/hide the task list from "View" button in Month-calendar window, or week/day calendar.

You can enter new tasks, mark the existing tasks as completed (by putting check mark on the task item), or delete them. You can also drag and drop contacts from Contact panel (which is on the left of month/week/day window) in to task list.



Tasks can be sorted based on due date, completion date, and other fields. Additionally, you can choose to hide or show completed tasks. If completed tasks are hidden, they will not show in the list once you put a check mark on them.


Printing
Print more than multiple pages per sheet: This option is available for printing address books or calendar. Click "Print Preview" tab in main window, click "Size" button, select Letter or A4 depending on what type of paper you are using. In North America it's usually "Letter" (8.5 x 11 inch), everywhere else it is usually A4 sizes (210 x 297 mm, or 8.27 x 11.69 inch). If your paper size is not available, click the "Add" button.

You may need to modify the paper size for your own use. For example, maybe you want to create 5.00 x 8.50 inch sizes. In this case, click the "Modify" window, and reduce the width to 5.00 inch.




When printing calendars, the "Events" button lets you select which events should be printed. For a yearly calendar, there will not be enough room to print all events, therefore you should select only the yearly events. For other calendars you can print all of the recurring events and one-time events. You may need to change the default font name for events, as well as default font size.



When printing address book, you can print pages labeled or not-labeled. If label option is not  set, then contacts will printing in simple sequential order, one after another.

If label option is set, the program prints one page for each letter of the alphabet from A to Z. Contacts which begin with the letter A will appear on the first page which is labeled A. Contacts which begin with the letter B will appear on the second page which is labeled B, and so on.

The program can print page A one on side of the paper, and page B on the other side of the paper. The first piece of paper will contain A and B, the second piece of paper will contain C and D. You will see A, C, E, G ... on front side of the paper.

Or, the program prints A on front and back of paper, then print B on front and back of the second piece of paper.



You should be able to print using your default printer, or a network printer (click Find Printer...) for network printers. "Printer Settings..." gives direct access to printer's own setup window. Printer Settings will not affect other programs and it will not be saved after you close the program.


Example: Printing monthly calendar using double side option, 12 Pages (12 Month From January to December)
  1. Select Monthly Calendar Style (Portrait view) and Click on Print
  2. Select All Pages, Select Double Sided Printing, and click on OK
  3. Program starts printing odd numbered pages. You see a prompt that tells you to wait until printer is done.
    Output: = pages: 1, 3, 5, 7, 9, 11.
    or, January, March, May, July, September, November.

    * Page 11 is the last page printed. Printer drops page 11 on top of the stack.
  4. After page 11 is printed, flip the whole stack of printed pages

  5. Now Page 1 is on top of the stack. The blank side of page 1 should be facing up. Insert these pages back in the printer tray.
    * Make sure the blank side of page 1 is still facing up.
    * Make sure paper goes in the printer the same way it came out. See below diagram:

  6. When you have reinserted pages in the printer, click on OK button of prompt. The program will continue printing. This time all even number pages are printed. Page 2 will be printed on back of Page 1, Page 4 will be printed on back of Page 3, etc.
