  • Taxes:
  • Added Ohio State tax formula updates for September 2021.

New in TimeTrex Time and Attendance 14.0.0 (Aug 21, 2021)

  • Notifications:
  • A central notification system has been added to see all notifications in a single place (My Account -> Notifications)
  • Notifications can be sent to a web browser, work/home email addresses or to the Mobile App for each type of notification. (My Account -> Preferences, Notification Tab)
  • Punch reminders can be sent to employees to remind them to punch in/out in the event that they may have forgotten, or pro-actively in advance. Each employee can configure the reminders to best suit them (My Account -> Preferences, Notification Tab). For example, if an employee is scheduled to start work at 8:00AM a reminder could be sent to their phone at 8:05AM to remind them to punch in, if they haven't already. Or, if an employee is scheduled for a 30 minute lunch and they have punched out at 12:00PM but haven't punched back in by 12:30PM, a reminder can be sent.
  • Process Payroll Reminders can be sent to payroll administrators if payroll hasn't been processed by a defined cut-off period. (My Account -> Preferences, Notification Tab)
  • Attendance (Corporate and Enterprise Editions, Mobile App v5.0+):
  • Default Punch settings have been improved to better consider the context of the punch and when its being performed in relation to the employees schedule. This can help in cases where the employee may have forgotten to punch. For example if the employee is scheduled from 8AM - 5PM and they forgot to punch in for the start of their shift, when they try to punch for the end of their shift, it will default to a Normal Out punch instead of a Normal In punch.
  • Punches, Absences, Schedules and Stations can now specify one or more "Punch Tags". Punch Tags are the 5th cost center level after Branch, Department, Job and Task. Punch tags are similar to other cost centers with the exception that more than one punch tag can be associated with any block of time. Therefore, they can not be used to determine specifically how much time was spent on each individual punch tag, but rather how much time was spent on any combined set of punch tags.
  • Punch Tags can be restricted with Employee and Punch criteria and linked to GEO fences.
  • Punch Tags are ideal for cases where an employee or supervisor might need to trigger policies that can't otherwise be automated. For example:
  • "Callback" tag may be used by an employee when they are called back in to trigger an overtime policy at additional pay rate.
  • "Inclement Weather" tag may be used by a supervisor to trigger a minimum shift premium policy for employees whose shift was cut short.
  • "Shift Swap" tag may be used by a supervisor to disable a premium policy that would not otherwise be applied had the employee not swapped shifts.
  • "Billable / Non-Billable" tag may be used for determining if time is billable or non-billable without creating additional jobs / tasks.
  • "Bank Overtime" tag may be used to manually trigger specific days when overtime may be banked or accrued rather than paid out.
  • Home Health Aide can track multiple services provided during each visit, such as Bathing, Dressing, Feeding, etc...
  • Reason codes when an employee punches in Early/Late such as: "Stuck in Traffic", "Childcare", "Inclement Weather", etc...
  • New Hire Defaults (Professional, Corporate and Enterprise Editions):
  • Multiple new hire defaults can now be created and when adding a new employee you can choose which defaults to use. Ideal for companies with multiple distinct employee classifications such as Salary/Hourly or employees in multiple Provinces/States/Branches.
  • Accrual Policy (Professional, Corporate and Enterprise Editions):
  • Added field for "Move Excess Rollover Time To" to automatically move any excess rollover time to another accrual account. Ideal for automatically handling "Current Year" and "Past Year" accruals in separate buckets.
  • Pay Formula Policy (Professional, Corporate and Enterprise Editions):
  • Minimum/Maximum accrual balances can now be enforced for things like Vacation/PTO and time banks. This can be setup by using the "Accrual Balance Threshold" and "Accrual Balance Threshold Fallback Account" fields to specify a minimum or maximum balance limit and a fallback accrual account that can be used in case the limit is exceeded. This works well when used in conjunction with the Accrual Policy "Move Excess Rollover To" field.
  • Holiday Policy:
  • "Display Holidays (Days In Advance)" field added to control how far in advance holidays are displayed on schedules and timesheets. By default this is now set to just over one year to better assist scheduling vacations a year in advance.
  • Branches (Corporate and Enterprise Editions, Mobile App v5.0+):
  • Employee Criteria tab has been added to Branches to restrict which employees can see each Branch.
  • Departments (Corporate and Enterprise Editions, Mobile App v5.0+):
  • Employee Criteria tab has been added to Departments to restrict which employees can see each Department.
  • Jobs (Corporate and Enterprise Editions):
  • Employee Criteria tab supports restrictions based on Employee Title.
  • Exceptions (Corporate and Enterprise Editions):
  • New Exceptions added for "Not Allowed on Punch Tag", "No Punch Tag", "Not Allowed on Branch", "Not Allowed on Department" and "Not Scheduled Tags".
  • Employees:
  • When adding a new hire, a "Recurring Schedule" field will appear to more easily assign new employees to their initial recurring schedule without going to a different screen.
  • Pay Period Schedules:
  • Added field to define how far in advance pay periods are created.
  • Added field to define when to Auto-Close a Pay Period if its not closed manually first.
  • At the beginning of each year, if TimeTrex detects a "leap pay period" (27 BiWeekly or 53 Weekly Pay Periods) will occur in the following year, it will automatically send a notification to the payroll administrator. Future pay periods can be viewed under Payroll -> Pay Periods, turn on the "Show Future Pay Periods" "Advance Search" filter.
  • Recurring Schedules:
  • Recurring Schedules are only assigned to a single employee now and no longer assigned in batches of employees. However, you can still assign employees to recurring schedules on mass and edit them on mass.
  • KPI:
  • "Display Order" field has been added to KPI's to maintain specific orders when assigning them to Reviews.

  • [ENHANCEMENT] Added Mobile Phone column to Tax Summary (Generic) report.
  • [ENHANCEMENT] Allow importing "Note" field with Accruals.
  • [ENHANCEMENT] Improved error/warning messages when generating government tax forms, so the messages are more obviously displayed on the first page.
  • [SECURITY] Improved security by further restricting class/method names received by the API.
  • [SECURITY] Improved the reliability of requiring an employee to change their password upon login immediately after their password was just changed by an Administrator.
  • [FIX] Rename employee status "Inactive" to "Inactive - Temporary" to make it clear that this status is intended to be used temporarily and not when an employee is simply terminated or leaves.
  • [FIX] Ignore US Federal Income Tax Additional Withholding 2020 W4 form amount when using cumulative averaging tax formula calculation, as it contradicts the point of cumulative averaging and if the additional withholding amount is ever changed, it will attempt to apply that retroactively back to the entire year, causing a large tax shortfall or excess.
  • [FIX] Automatically cap US Federal Income Tax Additional Withholding 2020 W4 form amount if it greatly exceeds the maximum federal tax rate for any given pay stub. This will help cases where an employee might have specified a $250 additional withholding amount but then only receives a pay stub with $300 gross earnings, effectively resulting in a 83% tax rate and often causing the pay stub to fail by having more deductions than earnings.
  • [FIX] Improved TimeSheet drag & drop functionality when punches are displayed on a different day than when they occurred due to Pay Period Schedule shift assignment settings.
  • [FIX] Improved Manual TimeSheet default values used for branch, department, job and task.
  • [FIX] Update permissions so a "Supervisor (Subordinates Only)" with access to add Wages can always see Secondary Wage Groups.
  • [FIX] Update permissions so a "Supervisor (Subordinates Only)" with access to add Pay Stub Amendments can always see Pay Stub Accounts.
  • [FIX] Generating pay stubs for multiple pay period schedules at the same time that are each on different payroll runs now uses the correct payroll run number for each pay period schedule.
  • [FIX] If multiple Accumulated Time records for Meal/Breaks are manually modified and the start/end timestamps are blank, it could cause the meal/break total time to calculate incorrectly and cause errors on the timesheet preventing calculations from occurring.
  • [FIX] Payroll Export report using the PBJ export format now properly filters on Punch Branch/Department again.
  • [FIX] API: When getUser()/getJob()/getJobItem() are called without specifying any columns to be returned, only direct columns from the primary tables are returned. Columns from secondary tables must be explicity specified in the column list to be returned.

New in TimeTrex Time and Attendance 12.7.0 (Mar 4, 2021)

  • Taxes:
  • For US State/Local taxes to appear on W2's, an employee must be assigned to the Tax/Deduction record when the W2 is generated. Therefore if an employee moves between states/localities or a Tax/Deduction no longer applies moving forward, the employee must stay assigned to that record and simply have a End Date specified for when it stopped being deducted.
  • Tax Reports:
  • Form W2/W3 report can now generate W2C/W3C forms if a correction needs to be made.
  • Added all Pay Stub Account Year-to-Date (YTD) columns to Pay Stub Summary report.
  • Added all Pay Stub Account Year-to-Date (YTD) and Birth Date columns to Tax Summary report.
  • Remittance Source Accounts:
  • For US domiciled accounts, Checking/Savings can now be specified so a proper ACH file is generated when funds are originating from a savings account.
  • Added middle check format for Sage (MBL 2398)
  • API:
  • Added support for idempotent API calls by adding "idempotent=1" on the URL along with a unique key in the form of "MessageID=<idempotent_key>". If using the supplied PHP "TimeTrexClientAPI" class, this is enabled by default.
  • Deprecations:
  • SOAP API is deprecated and will be removed in the next major release of TimeTrex. Please switch to using the JSON API instead. If using the supplied PHP "TimeTrexClientAPI" class, simply changing to the JSON end-point URL is all that is required and fully backwards compatible.
  • Legacy TT-A8 Stand-Alone TimeClocks, which have been discontinued for more than 10 years, will no longer function with the next major release. Please consider upgrading to our Tablet TimeClock system instead.
  • Details:
  • [SECURITY] Improved security of the SOAP/JSON API by creating an explicit list of which methods may be called remotely.

  • [FIX] If Canada T4's Other Boxes are negative amounts, skip putting them on the form.
  • [FIX] Always obscure SIN/SSN on pay stubs, regardless of permissions, to ensure that when printing pay stubs the full SIN/SSN is never displayed.
  • [FIX] When calculating Post Adjustment Carry-Forward corrections, if there is a difference of less than 0.0166 (1 minute) in the before and after "Hours/Units", it will not be included on the Pay Stub Amendment.
  • [FIX] When a Tax/Deduction is being calculated over multiple pay stub accounts, or when a single pay stub account has multiple line items on a pay stub, the calculated "Rate" will now reflect the total amount divided by the total units across all line items.
  • [FIX] When deleting pay stub accounts, more checks are performed to ensure that the account is not a system linked account and that it is not linked to another account as an accrual.
  • [FIX] Lower bottom footer of pay stubs where employee name and address are displayed by 1/8" to better fit in windowed envelopes.
  • [FIX] iCal schedule integration can now return records up to 120 days in the future when requested.

  • Reports:
  • Form W2 eFile format improvements for tax year 2020.

  • Taxes:
  • Updated US/Canada tax tables for January 2021.
  • Pay Stubs:
  • Added "Year-to-Date (YTD) Adjustment" pay stub type that only includes pay stub amendments when being generated. This can be used to easily add taxable benefits to employee records for year end tax form reporting.

New in TimeTrex Time and Attendance 12.6.0 (Dec 11, 2020)

  • General:
  • Greatly improved overall performance and loading time of the user interface by up to 50%.
  • When entering time, short hand values without a colon or full AM/PM such as "845A" and "8A" are now accepted.
  • Punches:
  • Default punch settings have been improved when an employee is scheduled. Now if an employee forgets to punch out at the end of their shift and their next punch is close to the start of a new scheduled shift, TimeTrex will default this punch to a NORMAL IN punch instead of a NORMAL OUT punch for the previous shift.
  • When adding punches on mass, Branch/Department/Job/Task fields now have "Default" (from the employee profile) and "Current Shift" options available. This helps with mass transfer punches where you may want to change just the Department for a group of employees but leave their Job or Task fields at the current values.
  • Meal/Break Policies:
  • Meal and Break policies of type Auto-Deduct/Auto-Add now have an "Allocation Type" field that allows you to select how the meal/break time is allocated within the employees shift if they have worked in more than one cost center (Branch/Department/Job/Task). "Proportional Distribution" (default existing behavior) allocates the meal/break time to each cost center proportionally, and "At Active After Time" simply allocates it to the cost center the employee was working in at the Active Time setting. (ie: 5 hours into their shift).
  • Pay Stubs:
  • A new payroll run type of "Opening Balance (YTD)" is now available if no PAID pay stubs exist. This automatically ignores all Tax/Deductions rather than having to disable them manually.
  • Tax Reports:
  • US Federal Form 1099-MISC has been replaced with Form 1099-NEC (Non-Employment Compensation).
  • On-Site Installations:
  • PHP v8.0 is now supported.
  • The next major release of TimeTrex will no longer support PHP v7.1 and older as it is now past its end of life.

New in TimeTrex Time and Attendance 12.5.0 (Nov 6, 2020)

  • Highlights:
  • Punches:
  • Added "Split Existing Punches" check box to Attendance -> Punches, "New" and Attendance -> TimeSheet, "New Punch" screens. This allows new punches (even transfer punches) to be inserted in between existing punches that are already paired without having to manually split the punches first.
  • Added "Transfer" flag to Attendance -> Punches, "New" screen. Combined with the above "Split Existing Punches" feature, this enables easy mass transfer punches to be created by supervisors/administrators, even after employees have punched out for the day.
  • Schedules:
  • Added Find Available Basic Search criteria to set the "Minimum Time Between Shifts" so it will only show employees who have at least the specified number of hours between any of their scheduled shifts and the selected shift. This defaults to 8 hours.
  • Tax Forms:
  • Updated Canada T4 form to automatically include other boxes 57, 58, 59 and 60 for COVID-19 reporting requirements.
  • Details:
  • [FIX] Some Premium Policies being calculated incorrectly on Oct 31st, 2020 when the employees shift crosses 2AM due to the daylight saving time transition.
  • [FIX] When Recurring Schedule Templates are assigned to a new owner using the "Created By" field, the templates shifts would not be visible by that employee due to a incomplete ownership transfer.
  • [FIX] Attendance -> Schedule, "Find Available" not showing some employees when it should due to overlapping shifts in the previous day.
  • [FIX] Rare scenario where some open shifts were not appearing when they should.

New in TimeTrex Time and Attendance 12.4.1 (Oct 2, 2020)

  • [FIX] Attendance -> TimeSheet, when using the employee navigation arrows and navigating to the next employee and that employee is the first employee on the next page of the employee dropdown box, the timesheet may display incorrect information.
  • [FIX] When adding a new hire, if their first or last name contains spaces the default username would be invalid.
  • [FIX] Employee Review printing has improved handling for long multi-page notes so they don't overlap with other rows.
  • [FIX] HR -> Reviews, change column header from "Rating" to "Result" to be more clear across multiple types of KPIs.

New in TimeTrex Time and Attendance 12.4.0 (Sep 17, 2020)

  • Highlights:
  • Reviews:
  • Employee Reviews can now be printed using the HR -> Review, Print icon.
  • Employees:
  • When enrolling an employee for facial recognition, if they don't already have a profile photo their enrolled photo will be used.
  • Hierarchy:
  • Allow superiors to authorize their own requests/expenses if they are the final level in a hierarchy and also a subordinate in the same hierarchy.
  • Rounding Policy:
  • Rounding Policies now accept negative grace period values to allow for more complex rounding situations.

New in TimeTrex Time and Attendance 12.3.0 (Aug 6, 2020)

  • Scheduling:
  • Absence shifts will no longer fill OPEN shifts. Therefore cases where an employee submits an absence request for a working shift that is currently filling an OPEN shift, when that request is authorized the OPEN shift will now automatically re-appear as OPEN so it can be filled by another employee.
  • TimeSheet:
  • Added a new "Punch -> Edit Location" permission to restrict which employees can modify the GPS location associated with punches separately from editing punches themselves. By default only "Supervisor (All Employees)" or higher permission levels will be allowed to do this.

New in TimeTrex Time and Attendance 12.2.1 (Jul 2, 2020)

  • Features:
  • Taxes:
  • Updated US/Canada tax tables for July 2020.
  • Updated US Form 941 for Q2 2020 including new COVID-19 fields.

New in TimeTrex Time and Attendance 12.2.0 (May 30, 2020)

  • Highlights:
  • TimeSheet:
  • TimeSheets now have a "Use Employees Timezone" button to switch the timesheet to be displayed in the employees own timezone, rather than the currently logged in employees timezone. Punches can also be added/modified in the employees own timezone eliminating the need to specify a different timezone or manually convert them. This can make it easier to handle requests or modify timesheets when the employee is in a different timezone than the supervisor or administrator.
  • Employee Preferences:
  • Added "Auto-Detect" button to automatically detect the timezone of the employee who is currently logged in.
  • Deprecated time zones have been removed and automatically migrated to their equivalent more standard ones. Timezones such as PST8PDT or EST5EDT have been migrated to more localized versions such as "America/Los Angeles" or "America/New York".
  • Pay Stub Amendments:
  • Added "Get Hourly Rate" button to easily retrieve and fill-in the hourly rate of the selected employee.
  • TimeSheet Verifications:
  • TimeSheets can no longer be verified if any pending requests dated within that pay period exist for the employee, as that is likely to cause the timesheet to change.
  • On-Site Installations:
  • Windows Installer:
  • Stack components have been upgraded to their latest versions (PHP v7.4 and PostgreSQL v12.2). This has also improved performance overall.
  • Previously deprecated support for 32-bit Windows has finally been removed. Now only 64-bit Windows is supported.
  • Minimum Requirements:
  • PostgreSQL v9.6 and older are deprecated and support for them will be removed in a future major release. PostgreSQL v10.0 or newer will be required.
  • API:
  • Permanent API keys (Session IDs) can now be registered and used instead of having to login with a username/password and manage sessions manually. [APIAuthentication->registerAPIKey()]
  • Date/time preferences used by the API for display and parsing purposes can now be forced to specific settings rather than use the employee preferences. This helps prevent possible breakage if preferences are inadvertently changed.
  • TimeTrexClientAPI reference class can now seamlessly switch between using SOAP and JSON API end-points. This is automatically detected by the API end-point URL itself.
  • TimeTrex SOAP API is now deprecated and will be removed in a future major release.

New in TimeTrex Time and Attendance 11.4.4 (Feb 2, 2019)

  • This version contains new features.

New in TimeTrex Time and Attendance 8.0.0 (Mar 21, 2015)

  • Pay Codes:
  • Added Pay Codes which are an abstraction layer between other policies (ie: Regular Time, Overtime, Premium, Meal, Break, Absence) and the values displayed on timesheets and reports.
  • For example, previously a overtime policy named "Weekly >40hrs" would be displayed on the timesheet and in reports when in use, however now with Pay Codes that overtime policy simply records its calculated results towards a Pay Code called "Overtime 1.5x" which other overtime policies (ie: Daily >8hrs ) can also do the same. Therefore timesheets and reports only display "Overtime 1.5x" instead of the name of the specific overtime policy, allowing for easier administration with many policies and combining results from multiple policies into a single line item.
  • Pay Codes now define the Pay Stub Account and Pay Formula Policy to be used for all time associated with it.
  • Pay Formula Policy:
  • Added Pay Formula Policies, which define the formula in which time is converted to dollars. All other policies or pay codes now define a Pay Formula to use rather then specifying the pay rate directly.
  • Added ability to calculate hourly rates based on the FLSA compliant overtime averaging formulas. (Professional/Corporate/Enterprise Edition)
  • Contributing Pay Codes Policy:
  • Added Contributing Pay Code Policies which define one or more Pay Codes that can be included in other policies or calculations.
  • Contributing Shift Policy:
  • Added Contributing Shift Policies which define the Pay Codes that contribute to other policy's calculations. This allows for more advanced calculations such as including absence time in overtime policy calculations among many other scenarios.
  • Date/Time and Differential Criteria can be defined to further refine which shifts or punches contribute to other policies calculations. (Professional/Corporate/Enterprise Edition)
  • Regular Time Policy:
  • Added Regular Time Policies which can be used to control how regular time is calculated and paid. Previously if it wasn't overtime it was automatically assumed to be Regular Time and paid at the employees regular hourly rate. With Regular Time Policies you now have full control over what exactly constitutes Regular Time and how you want it displayed on timesheets and reports.
  • For example if an employee works on multiple different jobs and gets paid different rates, Regular Time policies can be used to calculate this and greatly simplify how overtime is calculated.
  • Another example is if your employees work multiple shifts and you want to separate the time based on what shift they work (ie: 1st Shift, 2nd Shift, 3rd Shift), which can also simplify how other policies are calculated based on the shift.
  • Added Differential Criteria to allow more fine grained control over which punches contribute to regular time calculations. (Professional/Corporate/Enterprise Edition)
  • OverTime Policy:
  • Added Differential Criteria to allow more fine grained control over which punches contribute to overtime calculations. (Professional/Corporate/Enterprise Edition)
  • Accrual Accounts:
  • Added Accrual Accounts which separate Accrual Policies from the accounts that the accrued time is deposited to. This allows for multiple accrual policies to deposit time to a single accrual account. In addition to that it eliminates the need for an absence policy to be created for each accrual policy, as you can have an unlimited number of accrual policies depositing time to a single "Vacation" accrual account, which you can then link a single "Vacation" absence policy too.
  • Accrual Policy:
  • Added Employee Settings tab to customize milestone settings for each specific employee, such as Length Of Service Date (if it differs from the employees hire date) or full time equivalent modifiers to help handle part-time employees rather then creating multiple accrual policies for them. (Professional/Corporate/Enterprise Edition)
  • Hour-Based Accrual Policies can define the Contributing Shift Policy that is used to calculate the accrued time on, instead of just using the employees worked time.
  • Schedule Policy:
  • Added Include/Exclude selections for Regular Time, Overtime and Premium policies.
  • Tax/Deductions:
  • Added Eligibility Criteria to base Length of Service on hours defined by a Contributing Pay Code Policy.
  • Pay Period Schedule:
  • Maximum Shift Time setting is now smarter when determining the employees shift time, this should result in missed out punches causing less problems for subsequent days on the employees timesheet.
  • Currency:
  • When using multiple currencies, the exchange rate is now stored for each day and TimeSheet reports take that into account when calculating wages.
  • Employee Profiles:
  • When editing employee profiles there is now quick access tabs for Qualifications, Reviews and Accrual Policy settings.
  • Other:
  • When changing employees wages or currency exchange rates retroactively, employee timesheets must now be recalculated for those changes to take effect.
  • Significant performance improvements in calculating timesheets and viewing timesheet related reports.
  • FLEX interface has been removed in favor of the HTML5 interface.

  • Add support for automatically upgrading to the latest version without any manual intervention.

These can be useful for tracking things like benefit amounts or employer contributions to retirement savings plans that are useful to display to the employee.
  • Added the ability to control if amounts are added to or subtracted from linked accrual accounts.
  • Tax/Deductions:
  • Added Apply Frequency to Eligibility tab to control if Tax/Deductions apply each pay period/month/quarter/year, or even at other intervals such as employees hire date, birth date or termination date.
  • Added Pay Stub Note to Tax/Deductions so they can display public notes on pay stubs similar to Pay Stub Amendments.
  • Hierarchy:
  • Superiors can now be subordinates in the same hierarchy. This greatly eases administrative overhead when multiple superiors share the same subordinates and also act as superiors to one another, as it can now be setup with a single hierarchy rather than 3 or more.
  • Exceptions:
  • Added "Missed Check-In" exception that can be triggered if an employee doesn't punch in/out within a defined interval (for example every two hours). This can be useful for industries that require regular contact by employees for security or safety reasons such as security guards or field employees working alone.
