Although it may seem complicated at first sight, the user interface of PerfectTablePlan is very logical and intuitive. The main window of program offers you access to the 5 steps of creating a complete table plan, each with its configuration tabs.
The Works
PerfectTablePlan takes care of all the guest-related aspects involved in the organization of a special event. Create guest groups, place them at tables and design the whole room of the event. Working with the application is incredibly easy, so you just have to follow each step of the planning process and, in the end, you will get your own personalized table plan.
Guests The Guests panel is made up of two tabs: Guests and Groups, and enables you to manage your guests from whatever perspective you may prefer. From the left sidebar, you can add a single person to your guest list, a couple, a family or an entire group of people. You can always use the Scratch option from the left sidebar to write down a draft of the guest groups when you don't have all the necessary details about them. This way, it will be easier for you to modify their information at a later date.
PerfectTablePlan helps you store different types of data for all the people invited at the event: besides the usual details like full name, gender and age, you can also specify if a guest has any preferences in terms of food, or special requirements. If the invitee you are adding is an important one or some sort of honorary guest at the event, check the VIP option and he/she will be automatically assigned to the VIP table, if you have one in your table plan.
Proximity The Proximity panel shows a table with the relationships between guests, and you can select different criteria to sort and display them by groups. The members of a family will automatically sit next to each other, but this setting can be changed in the Proximity table by selecting the “not next to” or “not near to” option.
Tables You can easily create an exact replica of the place where your event will take place by designing new shapes and customizing the default tables provided by the application. PerfectTablePlan allows you to configure the table dimensions and the layout to fit the real arrangement of the room. From the sidebar, you can choose one of the default table formats: Rectangle, Banquet, Head table, Circle, Semi-circle, Oval or Seat row. As you can see, PerfectTablePlan provides a wide range of possibilities, but if none of the given choices works for you, the application also allows you to create a custom table by specifying its dimensions, shape and the placement of the guests at it.
PerfectTablePlan creates different types of plans and views of the seating arrangements for your guests, to suit all your needs. You can see all of them organized in the 7 tabs of the Tables panel. The Floor Plan shows the placement of all the tables with their assigned guests, the Table Plan displays the guest list and the table name for each table, while the Schematic tab is where you can see a list of the tables with their corresponding seats, be they assigned or not. The next two tabs – Table Chart and Guest Chart – show lists of your guests grouped by tables and by groups. The Stationery tab allows you to design and print invitations, place cards, badges and anything else related to your event. If you want to take a look at the statistical data of the event (i.e. the number of guests that have accepted the invitation, number of VIPs, total seats and tables), it is all available in the Statistics tab.
Assign The Assign panel shows both the Guests and the Tables panel, enabling you to easily assign seats for your guests by dragging them to the appropriate seats. The best feature of PerfectTablePlan is its Auto assign feature that uses a genetic algorithm to assign seats for all guests taking into consideration the Proximity table and several other rules, like not leaving people by themselves, alternating males and females, and paying special attention to the VIPs. If you specify all the guests' relationships and affinities in the Proximity table, you can let PerfectTablePlan take care of all the seat assigning in your stead.
Output In the Output panel, you can see the same plans and charts as in the Tables panel, and you have the possibility to copy the current pane's content to the clipboard, print it, or export it to a file. With PerfectTablePlan, printing or exporting all the resulted charts and table plans becomes incredibly easy.
