  • Due to a change in the SMS provider's user interface and network the new version will send a Token to the UI instead of the old username and password. A token will be provided by us on request when you have installed the new version of the software.

  • This update is an almost complete rewrite of the software undertaken to deal with the problems experienced with some anti-virus software when deleting records. The new version will enable record deletion without resultant errors.
  • Pictures: embedded file option removed:
  • The option to embed picture files has been removed and all pictures will now be linked by storing the path to the picture file. Existing embedded pictures will be converted on running the update; a new file will be created, using the information embedded in the table record, and its path recorded as a link.

  • The output options control, used when generating a report, has been revised and new file types have been added. When generating a report with "File" select as the output type a second dropdown becomes visible listing the available file types that can be selected. Available file types now include Microsoft Word 2007 "DOCX" and Open Office text and spreadsheet files.
  • Reminders:
  • The reminder functions have been revised for repeating reminders making it easier to remove repeating reminders by editing the root reminder record.
  • Bank reports:
  • New report added: Cash flow summary.
  • Tenant, Create invoices:
  • Address now includes trading name if one entered for client. Also applies to creation of rent demand when posting rent charges.

  • Tax Labels
  • As part of our move towards universal labelling, captions that previously referred to 'VAT' and 'VAT Code' or 'VC' have been changed to the more general 'Tax' and 'Tc'. Where specific reference to VAT is required, such as in the 'VAT Analysis' option, the existing captions have been retained.
  • Client/Supplier ledgers, Client receipt, Supplier payment screens
  • The code for fetching a list of client or supplier transactions has been optimised to reduce the time taken to create the list where a large number (>100,000) of transactions are contained in the transactions table.
  • Currency labels
  • Various screens throughout the software have been revised so that the currency used for transactions is clearly shown. Various reports have also been revised including the client statement and sales invoice. Column heading captions that previously included currency symbols have had these removed to improve clarity.

  • New Features/Changes:
  • Tenancy wizard
  • The wizard for creating a new tenancy has been revised. The new wizard can create a tenancy having multiple tenants and/or tenancy charging records. This is an improvement on the previous version which only let you create a tenancy with one tenant on it.
  • Credit Control
  • Major revisions have been made to the credit control functions provided by the software.
  • The Credit Control option has been removed from the Tenancies menu. The Credit Control option on the Tenants menu now carries out assessment on both tenants and tenancies, distinguishing between the two in the list of suggested credit control actions.
  • Users should give some thought to whether they want to perform credit control on tenant accounts or tenancies or both, in the case of tenancies having multiple tenants.
  • Individual accounts, tenant and tenancy, can be excluded from the automated credit control assessment using the tickbox on the Credit Control tab of the relevant record. There are also two main tick boxes, one on the Tenant Defaults screen and one on the Tenancy Defaults screen, that enable automated credit control assessment to be turned off for tenants and tenancies respectively.
  • Please refer to the Help file for further details of the Credit Control facility.

  • A filter button has been added to the Bank Accounts list.

  • A Documents tab has been added to the supplier record to enable links to documents, pictures and other files to be created.

  • Bank reconciliation
  • When selecting the "Bank reconciliation" option from the Bank menu a "pick list" screen will now appear with a list of bank accounts to choose from. Select the account you want to reconcile and a check will be carried out for previously saved reconciliations. This pick list will not appear when selecting reconciliation via the Bank Accounts list as it is not needed; the highlighted bank account will be the one to be reconciled.
  • Automated entry processing
  • The automated entries for processing are now sorted in order of due date in the list.
  • Nominal code dropdown
  • The restriction on selecting VAT control accounts from the dropdown has been removed. When creating tenant or supplier invoices or credit notes all nominal accounts may now be selected with the exception of the debtors and creditors control accounts.

  • Option to print proof of payment from Tenant Receipt screen or Tenant Ledger page. Irrespective of what currency is chosen as the base currency proof of payment always shows sterling values. This is now fixed.

  • When editing a property key record the changes cannot be saved as the data validation check requests that an opening stock value be added, which only applies when adding a new record. Bug now fixed.

  • The option to password-protect a backup file at the time it is created has been added. In order to restore data from a password-protected backup file the user must enter the correct password.
  • Function key F6 Copy
  • The operation of function key F6 has been revised and now works correctly on all grid columns where this feature is supported. The feature has been reinstated on the Supplier Batch Invoices screen.

  • New Features/Changes
  • Backup filename
  • Added backup filename stem variable which lets user set filename to be suggested for a backup file. Also added date flag which lets user choose whether to have the date appended to the filename stem when suggesting a backup filename. These values can be changed via the Miscellaneous tab of the "Business defaults" screen (Settings menu > Business defaults).
  • Tenant record screen
  • The Tenant record screen has been revised. The "Employment" and "Bank" tabs have been removed; employment and bank details are now included on the Contacts tab.
  • Bank reconciliation
  • Bank reconciliation revised. Check for saved statement is now done first and, if a saved statement is found, user is asked if he would like to continue from where he left off. If user replies yes, reconciliation screen is loaded bypassing the "Statement details" window, which is redundant in this case.
  • Bank account: auto-increment cheque number
  • Option to disable auto-increment of cheque numbers added. Enter "-1" as the Last cheque number to disable auto-increment.

  • Fixed bug in Job sheets report selection screen. Dropdown for landlord now populated. Dropdowns for property, contractor and landlord now populated with all records having active status. Previously was only records that were included in job records.

  • Fixed "numeric overflow" error message, which appeared when value in Held column exceeded 9999. Screen also made resizable.
  • Invoice item screen
  • Fixed error message relating to missing members that appears when selecting Funding type and updating nominal and department values with defaults.

New in Landlord 5.10.01 (Sep 11, 2013)

  • New Features/Changes:
  • Nominal budgets
  • The method of recording budgets for nominal accounts has been totally revised, resulting in new screen layouts and new reports. There is a new screen accessed via the "Nominal budgets" option on the Nominal menu and a new "Nominal budget comparison" option on the Nominal menu. The "Budgets" tab has been removed from the nominal record screen. Nominal budgets for an individual nominal account can now be viewed and updated using the "Edit budget" button at the bottom left of the nominal record screen.
  • New style report criteria selection screens
  • The old style record selection, when running a report, which involved moving records from one list to another to select records for inclusion in a report has been revised. The new report screens use a tick list and new style dropdowns for selecting records in a particular range.
  • Enquiries/Waiting list
  • The requirement criteria on the Requirements tab of an enquiry record have been revised. The dropdowns for Bedrooms, Rent and Furnished now include an "any" option, which should be selected where the enquirer has no particular preference. Previously, no preference was indicated by using a zero value for bedrooms and/or rent. These dropdowns now make use of the zero value so that, for example, settings a criteria of "Bedrooms exactly 0" will include as matches only those properties having zero bedrooms.
  • The grid on the Matches tab of the enquiry record now has a "Reason" column, which displays the reason(s) why a particular property did not match the selection criteria.
  • Bank reconciliation
  • The bank reconciliation process, and screen, have been revised. When reconciliation is started the user will first be provided with a separate screen in which to enter the statement end date and balance. The reconciliation screen will then open and use the details entered by the user in the previous screen.
  • Removing the entry of the statement end date and balance to a separate screen has meant that the layout of the Reconciliation screen has been improved.
  • Linking to Contacts
  • A new screen has been provided for creating or editing the link between an object and a Contact record, such as when selecting utility providers for a property or employer details for a tenant. The old screen provided the facility to add and edit the Contact details as well as the "link" details and this has caused confusion with some users of the software as to what they were actually changing. The new screen still allows the creation of a new Contact record via the "Add new" option of the Contact dropdown.
  • Portfolio record
  • The portfolio record screen has been revised and the Summary tab removed.
  • The mortgage record, associated with a portfolio record, has also been revised. The old automated entry links have been removed and replaced by the option to link a mortgage balance to a nominal account or to manually update the mortgage balance. The mortgage balance is used in the calculation of equity for a portfolio record (property).

New in Landlord 5.03.02 (Sep 12, 2008)

  • Paid records - major changes have been made to the way the software records allocations between invoices and receipts and payments using paid records. Much of the system has required some rewriting to enable use of these new format paid records but, as these are internal changes, the user will not see any difference in the software interface.
  • Credit Control - major revisions have been made to the Credit Control options, including improved screens.
  • Post Rent Charges - the Post Rent Charges screen (Tenancies menu) has been revised. The "Create what?" dropdown, previously at the bottom right of the screen, has been removed and replaced by the "Post charges" and "Create demands only" buttons at the top of the screen. The controls concerned with changing the due date of selected rent charges have been replaced by a single "Change Due date" link that will take the user to a screen where a new due date can be entered. We are much indebted to Julian Godfrey for his suggestions.
  • Reminders/Events - event records have been removed from the system and are represented instead by a reminder record having a "pending" or "completed" status. Existing event records will be converted to completed reminders. The Reminders list, and the Reminders page on the record for a property, tenant, tenancy etc, have been revised to enable the user to view pending and/or completed reminders. Event reports have been removed from the system.
  • Microsoft Word - we have reverted to the old program code we used to use when "talking" to Microsoft Word as the revised code was generating errors when used with Microsoft Word 2007. The old code appears to work just as well with the new version of Word.
  • Bank Reconciliation - the option to unreconcile transactions has been revised and corrected. This option was previously unreconciling all transactions with the selected reconcile date, not just those for the selected bank account.
