Organization is probably the best ally you have when facing the pile of things that need to get done every day. Regardless of whether you have to deal with a work or a personal project, establishing precise tasks, due dates, and setting up reminders will keep you out of a lot of trouble.
Todoist proposes a streamlined environment where you get to create multiple projects, keep track of upcoming tasks, or assign them to other users without wasting too much time. Since Todoist relies on a web platform, at least on the desktop side, the clients preserve the same interface design.
On the other hand, the project also features companion applications for iOS and Android, extensions for all major browsers (Safari, Firefox, or Google Chrome), and can also integrate with Outlook or Gmail.
To get started, you need to sign up for a Todoist account, but keep in mind that you can also connect using your Google account directly and change the password at a later time. Of course, to get access to the Premium or Business features provided by the service, you need to upgrade your subscription plan.
Task management solution that revolves around projects and integrates collaboration capabilities
The Todoist OS X desktop client comes with a status bar menulet that offers you the option to quickly add new tasks to your inbox without switching to the main window. By default, the entries will be sent to the Inbox, but you can activate the advanced menu and get full control over each entry.
Todoist offers you the possibility to group tasks into projects, and even keep them organized in hierarchical order (note that you can move tasks around in the list via drag and drop). This is great for keeping work, personal life, on any other type of events separate.
The best part is that Todoist allows you to share any project with other users and enables you to assign tasks to collaborators. The app attaches the user’s logo next to each task, so you can see who is responsible at a glance.
Schedule tasks, set reminders or priority levels, and filter the entries using various criteria
In the Todoist task configuration panel, you get to set a due date, assign a priority level, and even include quick notes. For your convenience, all the essential information will be visible at all times.
Todoist will automatically organize the entries into lists depending on the information provided by the user. Of course, you see them sorted by project, but you can also monitor the tasks that have to be finished today or the schedule for the next week.
Similarly, you get to assign labels, or rely on custom filters to find all the entries that have a particular priority level, no due date, are attributed to you or to other users, and so on. Worth mentioning is that some of these functions are accessible only if you have a Premium or Business subscription plan.
Analyze your performance and rely on the built-in notification system to keep track of everything
Todoist comes with a Karma system that can be configured by the user and helps you monitor if you are reaching your goals: you get to set a daily or weekly target, set the off days, and decide if you want the monitoring system on during vacation days.
Other customization options include the possibility to change the interface theme, the start page format, the date and time format, the time zone, the account’s avatar, and so on. Furthermore, you can also change the default system-wide hotkeys and decide if you want to view desktop reminders.
If the latter function is enabled, Todoist can send alerts related to shared projects, if you are mentioned in a comment, or if there are tasks assigned to you. You can also get a heads-up whenever a job is completed, or if one of your collaborators joined or left a project, declined an invitation, or has been removed from a project.
The Good
What’s more, besides the associated web platform and desktop solutions, Todoist also features companion apps for some of the most popular mobile platforms: iOS and Android. As a result, you have the option to manage everything even if you are on the go.
The Bad
What’s more, within its user interface, Todoist keeps everything in list mode and does not integrate a calendar view. However, you can sync your tasks lists with your iCalendar, Google or Outlook calendar (get the link via theTodoist Settings panel.)
This approach is advisable if you need to plan long-term projects since Todoist cannot help you visualize how the projects overlap and plan accordingly, but keep in mind that you will have to switch to third party resources.
The Truth
Furthermore, the Todoist desktop apps preserve the same user interface across platforms, which makes it easy to use, but you can also integrate the service with your web browser or your email.
